Resignation letter generator

Enter who you are, who you report to and your last working day, and get a clear, courteous resignation letter in a formal, friendly or brief style. It is a starting template written for this tool; check your contract for how notice must be given.

A reason is not required. If you add one, keep it short and neutral, for example "I have accepted a position elsewhere".
Finish the sentence, for example "the support and the chance to learn". Not used in the brief style.
Style

This is a general template, not legal or employment advice. Notice periods and the way notice must be given depend on your contract and local law, so check these before you send it.

Runs in your browser: nothing you enter is sent anywhere.

How to use it

  1. Enter your name and, if you like, your manager, company and job title.
  2. Pick your last working day, and the date of the letter if you want one at the top.
  3. Choose a style, add an optional reason and thank-you, then copy the letter.

How it works

The letter is assembled in your browser from fixed sentences and your answers. Blank optional fields leave that part out, and a missing last working day becomes the gap [last working day]. The brief style drops the reason and the thank-you and keeps only the notice and the handover line.

Worked example

For Jordan Lee, who reports to Sam Rivera at Northwind Studio, with a last day of 2027-01-15 and the formal style, the letter says: “I am writing to give formal notice of my resignation from my position as Customer Support Specialist at Northwind Studio. My last working day will be January 15, 2027.”

Tips

Tell your manager in person or by phone before you send the letter, if that is possible. Keep the letter factual and kind, because you may need a reference later. Keep a copy, and check your contract for the required notice and form.

Frequently asked questions

What should a resignation letter include?

Usually the date, the person you address, a clear statement that you are resigning, your last working day, and a polite close. A thank-you and an offer to help with the handover are common but optional.

Do I have to give a reason?

Not in this template. The reason field is optional, and you can leave it blank. Whether a reason is expected can depend on your workplace, so use your own judgement.

How do I pick the last working day?

Check the notice period in your contract or company policy and count from the day you hand in the letter. The tool does not calculate it for you. If the date is empty, the letter shows [last working day] so you can fill it in later.

Is this letter legally valid?

The tool only prepares text. It gives no legal advice and cannot know your contract or local rules, so check how notice must be delivered, for example on paper or by email, before you send it.
