How to use it

  1. Enter the number of days, the nights you need lodging for and the number of travellers.
  2. Fill in your daily estimates. Lodging and local transport are for the whole group; food and activities are per person.
  3. Add the one-off costs: flights, visas, travel insurance, a rental car deposit.
  4. Choose a safety margin and read the total, the cost per person and per day.

How it is calculated

  • Lodging = price per night × nights.
  • Food = food per person per day × travellers × days.
  • Transport = transport per day × days.
  • Activities = activities per person per day × travellers × days.
  • Subtotal = lodging + food + transport + activities + one-off costs.
  • Safety margin = subtotal × margin percentage. Total = subtotal + margin.

Worked example

Two people, 7 days, 6 nights, a room at 90 a night, food 35 each a day, transport 15 a day for both, activities 20 each a day, 600 for flights, and a 10 percent margin:

  • lodging 90 × 6 = 540; food 35 × 2 × 7 = 490; transport 15 × 7 = 105; activities 20 × 2 × 7 = 280;
  • with 600 of fixed costs the subtotal is 2,015, the margin is 201.50 and the total 2,216.50;
  • that is 1,108.25 per person and about 316.64 per day.

Tips

Look up real prices for your lodging first, since it is usually the largest line. Keep the budget in the currency you will pay most of it in, and re-run it after booking to replace estimates with real prices.

Frequently asked questions

Which currency should I use?

Any one currency, as long as every amount is in it. The calculator does not convert money, so convert foreign prices first, for example with a currency rate you trust.

Why are nights and days separate fields?

A week-long trip usually has six or seven nights of lodging, and a trip with a night train or a stay with friends has fewer. Setting nights yourself keeps the lodging line honest.

How big should the safety margin be?

That is your call. The default of 10 percent covers small price differences and unplanned spending; use more for destinations whose prices you do not know, and 0 if your costs are fully booked.

Is lodging counted per person?

No, it is the price of the room or apartment for one night, shared by everyone. Food and activities are per person and local transport is for the whole group.
